Conservatory Business Manager

The Conservatory Business Manager supports the day-to-day operation of the Goldner Conservatory in the Roe Green Education Center at the Maltz Jupiter Theatre from a financial and administrative viewpoint.  

This position reports to the Director of Education and works closely with the Finance Department, and coordinates with the Marketing Department and other Theatre departments as needed.  

Responsibilities of this position include: 

  • Monitoring online class registrations on a daily basis to ensure tuition payments have been properly processed within Jackrabbit, the Conservatory software program. 
  • Assisting those individuals over the phone or in person having problems with online registrations with the highest level of customer service. 
  • Recording, registering and processing of tuition in Jackrabbit for private lessons. 
  • Printing of detailed daily deposit slips from Jackrabbit then providing them to the Finance Department each day. 
  • Tracking of students enrolled per class/camp vs. minimum enrollment per class/camp to determine if the class/camp size has met its required levels.   
  • Ensuring the tuition payments for all students enrolled in a class/camp have been processed prior to the first day of class/camp. Reports to be provided to the Finance Department at the beginning of each week. 
  • Tracking of scholarships awarded and providing reports as requested. 
  • Collecting student enrollment materials, tracking signed documents, updating files, and ensuring all student records are up to date.   
  • Assisting in the printing of daily student rosters and information, as needed. 
  • Assisting the Director of Education with the creation and preparation of the annual Conservatory budget documents. 
  • Monitoring and tracking revenue and expenses against the annual budget.  
  • Assisting with the creation of policies and procedures as necessary. 
  • Assisting the Director of Education in preparing/printing of any necessary materials, as needed. 
  • Work with the Director of Education and Box Office to ensure production camps ticketing processes and procedures are communicated in a timely manner.
  • Assisting the Director of Education and Marketing Department with creating the content of Conservatory marketing collateral. 
  • Assisting the Director of Education with the creation of detailed descriptions for classes and camps. 
  • Review the Conservatory website on a regular basis to ensure accuracy and all pertinent information is up to date. 
  • Ensuring a high level of customer service to Conservatory students, parents, and visitors; addressing student and parent concerns in person, over the phone, or via email in a timely and professional manner. 
  • Assist the Director of Education and/or Finance Department with other projects on an as needed basis. 
  • Follow, adhere and execute all safety and security procedures and policies as directed by the management of the Maltz Jupiter Theatre. 
  • Oversee the Conservatory calendar to ensure accuracy and make necessary updates as needed. Compare the Conservatory calendar to other building calendars to ensure there is no overlapping events. 
  • Attend weekly department meetings with the Producing Artistic Director/Chief Executive. 
  • This position does not involve any educational or creative responsibilities as it pertains to the classes and camps. 

 Qualifications 

  • Excellent written, verbal, phone and presentation skills. 
  • Strong interpersonal communication, customer service, time management and organizational skills. 
  • Strong Excel, Word, Outlook and calendar creation skills (required). 
  • Financial background is preferred but not required. 
  • Ability to manage multiple projects, exercise good judgement and discretion and maintain a positive attitude at all times. 
  • Theatre or educational experience is not required. 
  • Ability to work a flexible schedule; must be available to work afternoons/evenings and weekends. 

Pay: $50k plus benefits. Full-time, year-round
